Moving to Asana taught us there’s no such thing as over-organisation

Our project process is always being refined. It’s a constant work in progress and we’re big fans of new ways to improve how we organise.

Historically we’ve always used Trello for project planning, but found in busy periods it lacked the ability to visualise our studio schedule and find the gaps to book in new work.

After hearing great things about both Asana and Monday.com, we did some research and decided on Asana for its popularity and value for money.

We love the following features:

Calendars 

It sounds basic, but the ability to view not only individual team member and project calendars, but a holistic studio calendar allows us to really visualise which team is booked out on what, and when, and where we can book new work in.

It means each team member can come in every morning, and even though we love a 9 am ‘GO TEAM’  huddle session, everyone knows what they’re working on without reliance on the project manager.

We love being able to create a task directly from calendar view too, being able to drag a task across days is really intuitive.

Start Time and Due Times

The ability to add a start time and due time rather than just a due date means our planning can be much more detailed and each day can be prioritised easily.

Timeline 

Our projects often involve multiple stages with different teams, the Timeline feature allows us to plan these stages both individually and as a whole by visualising how each phase fits together as one to form the bigger picture.

Slack Integration 

We’ve set up the handy Slack integration too – so without even opening Asana we can easily create and delegate tasks.

Overall, Asana has gone down really well with the team and has certainly improved our visibility over project plans and bookings. It helps that the UI and design is really beautiful!
